Maps, land + facilities
Current farm, field, pasture, facility and storage maps are available
Owned, rented, certified, transitional and excluded areas are clearly identified
Buffers, adjoining land, water, manure, compost and input-storage areas are documented
New construction, land or facility changes are reflected in the record system
Inputs, seed, feed + suppliers
Every material used has a label, invoice and approval or status record when required
Supplier certificates and product documentation are current
Seed searches, non-GMO or untreated documentation are filed when applicable
Purchase, delivery, lot, storage and inventory records connect inputs to their use
Production + harvest
Planting, field activity, grazing, feeding, treatment, harvest or production records are current
Dates, locations, quantities, responsible people and source documents can be traced
Storage, handling, cleaning, transport and sales records connect product movement
Any exceptions, confinement, contamination risk or commingling controls are documented
People, SOPs + review
Employees know which records they complete and when
Current SOPs and training records are signed and filed
A monthly internal review identifies missing records before renewal or inspection
Records are organized by year and category, with older versions archived instead of overwritten
